Marketing & Lead Management

Joy answers when nobody can pick up.

Every practice has the same 9am. The phone rings, texts pile up, someone is waiting at the desk, and one person is trying to be in three places at once. Calls go to voicemail, and plenty of those callers never ring back.

Joy is the receptionist who is already in all three places. She answers the phone, works out why the person is calling and helps them there and then, whether they need information, an answer, directions or a booking. Anything she can’t sort out goes straight to the right person on your team.

How it works

  1. 01

Answer every call, even when you’re all in surgery

Joy picks up in a friendly British voice and works out what the caller needs.

When a patient rings, Joy’s first job is to understand why they are calling and how she can help. Most calls are simple: opening hours, parking, directions, a question about a treatment, a booking. Joy deals with those on the call. Anything else, she writes up and hands to your team, so nobody has to ring the patient back just to find out what they wanted.

    • Joy speaks in a neutral British voice, or a more regional one if that suits your practice.
    • She can introduce herself as Joy or simply as reception. You choose for each site.
    • She never gives clinical advice. A clinical question goes to your team with a short summary of the call.
    • If a site wants every call to reach a person, you can switch her off for that site.
    Inbox
Joyful inbox. A patient thread with a voice note, a written reply, and Joy’s suggested send.
  2. 02

Start the day with a sorted inbox

Joy reads and tags every message, so reception knows where to begin.

Texts, WhatsApp, email and call notes all land in one thread on the patient’s record. Joy reads each message, works out what it is about and tags it. She answers simple questions in your practice’s own words, and sends complaints and urgent clinical questions straight to the right person.

    • Reception can change any tag Joy sets.
    • Joy only answers from what your practice tells patients, so her answers match yours.
    • Complaints and urgent clinical messages always reach a person.

  3. 03

Patients book while they’re still on the lineComing soon

Joy books each visit into the slot that keeps your clinicians’ days full.

When a patient wants to book, Joy books them in during the call or the chat. She picks the slot that makes the most sense for your clinicians, so the day fills up without awkward gaps. If a request is clinical, urgent or unusual, she hands it to a person.

    • Joy books from the same ranked times your reception team sees in the book.
    • She chooses the slot that keeps each clinician’s day full and avoids gaps.
    • She books by phone, text and WhatsApp, and on your website once website chat launches.
    • After hours, she drafts replies for your team to check in the morning.

The small print

  • Every call is transcribed and saved on the patient’s record, so your team can read what was said.
