Your onboarding journey with Joyful
Getting your practice set up on Joyful
We get your practice running on Joyful with as little work for you as we can manage. You’ll have one person at Joyful, your onboarding manager, from the day you sign to the day you’re fully live.
We set everything up and test it before you switch. Your old systems stay on until we’ve shown Joyful works, so you’re never left without a safety net.
Two ways to get started
- New practice. If you’re just opening, or have very little to bring across (no patient records, plans or phone numbers to move), it’s simple. We set Joyful up, test it with you and you go live.
- Established practice. If you’re moving from systems you already use, there’s more to do. That might include patient records, dental plans and Direct Debits, phone numbers, recalls, reminders, payments, x-ray software and your website chat. We’ll go through each one with you and agree what moves, what stays and when.
How it works
There are six stages. We don’t move to the next one until we’re both happy with the last.
- Get to know your practice. We look at every system you use today, your contracts and notice periods, your patient data, plans, phones and anything else Joyful needs to work with. At the end we agree a plan and a go-live date with you.
- Get things moving. Some things take weeks or months, like plan transfers, notice periods and moving phone numbers. We start those straight away so they don’t hold you up later.
- Build and test. We set up Joyful for your practice and bring across a copy of your data. You check a sample of real patient records, including medical alerts, before anything goes live. We also test calls, bookings, reminders and payments, and show your team how it all works.
- Go live. We switch you over, outside opening hours where we can. Your onboarding manager is with you on the first day, and we check that appointments, records, phones and payments are all working before patients arrive.
- Settle in. For the first week or two we check in with you every day, fix anything that comes up and check your first plan payments came through as expected.
- Tidy up. Only once everything is working do we help you cancel your old systems and keep any records you need to hold on to.
What we need from you
- A practice champion. One person on your team who knows how things run day to day. They help us get information and sign off each stage.
- Your current setup. Who your providers are and copies of your contracts where you have them.
- Access and paperwork. Things like data exports from your current software, a recent phone bill and a signed form to move your phone numbers.
- Your team list. Who needs a login and what they need to be able to do.
- Your sign-off. You check and approve your data and setup before we go live.
We’ll tell you exactly what we need and when. You won’t need to chase anything yourself.
Four things we always do
- We don’t guess a date. We’ll only give you a go-live date once we understand your setup.
- We start the slow things first. Notice periods, phone number moves and data exports begin early, so they’re ready when you are.
- We test before we switch. You see Joyful working with your own data before you rely on it.
- We cancel last. Your old systems stay on until Joyful is up and running. We never take away your safety net first.
Common questions
- How long will it take?
- It depends on what you’re bringing across. A new practice can be quick. For an established practice, the longest part is usually moving your dental plans and waiting out notice periods. We’ll give you a firm date after the first stage.
- Will we have to close while we switch?
- We aim not to. We do the big changeover outside opening hours where we can, and check everything works before your first patient.
- Will we be paying for two systems at once?
- Possibly, for a short while. Keeping your old systems on until Joyful is proven is what protects you. We’ll help you time your notice so any overlap is as short as possible.
- What happens to our patient records?
- We bring across what Joyful can hold and you check a sample before go-live. Anything that can’t move, we help you keep safely as an archive.
- Who do we call if something goes wrong?
- Your onboarding manager, from day one until you’re fully live. After that, we’ll tell you how to reach our support team.
